Role Summary
This newly created Assistant role supports a growing practice and ensures an excellent client experience. You will work closely with the full team and communicate with prospective and current clients and their grantees.
Part-time salaried role at 0.5 to 0.625 FTE (20 to 25 hours per week)
Mostly remote with occasional office time in Manchester, MA (about monthly or every other month)
Two in-person team meetings per year, typically fall and spring
Compensation commensurate with skills and experience
Key Responsibilities
Schedule and coordinate meetings with clients and grantees. Join calls and prepare minutes.
Support grants management. Prepare and route documents, track terms and payments, maintain accurate records, and coordinate related client needs.
Provide administrative support to senior team. Arrange travel, venues, lodging, mailings, and other logistics.
Maintain office systems. File naming and storage, copy editing and final versioning, and basic tech and supplies support for a remote team.
Manage logistics for multi-party events and meetings. Venues, catering, RSVPs, seating, materials, and on-site coordination.
Support finance tasks. Prepare monthly client invoices, expense packets, and bank deposits.

Qualifications
1 to 5 years in executive support, operations, or customer service. Nonprofit or philanthropy experience preferred.
Excellent organization, attention to detail, and independent problem solving.
Strong written and verbal communication.
Calendar and task management proficiency. Comfort adopting new tools in a remote setting.
Client-centered approach with professionalism and discretion.
Ability to join in-person staff gatherings and occasional travel.
